The problem

Start Training is a Melbourne registered training organisation. They run practical, hands-on courses, from forklift licensing to first aid, across several suburbs, with dates and seat numbers that change all the time.

That created a constant stream of the same questions. When is the next forklift course? Is it in Campbellfield or Ferntree Gully? Are there any seats left? Every one of those questions needed a person to check the schedule and reply, and if a student landed on the website after hours, all they got was a contact form and a wait.

What we built

We put an AI assistant on their website that actually knows their business. It reads their course information and answers questions in plain language, at any hour. The important part is what sits behind it: we connected the assistant to a live course calendar that stays in sync with their training system.

So when a student asks about a course, the assistant does not guess. It looks up the real schedule and answers with actual dates, times, locations, and how many seats are left.

Ask "when is the next forklift course and are there seats," and the assistant replies with the real date, the venue, and the exact number of seats still available.

We also built a public course calendar page, so anyone can browse and filter upcoming courses by type and location without picking up the phone.

How it works

  • The assistant answers questions about courses and policies from Start Training's own content, so the answers are always on brand and correct.
  • For anything about dates, venues or availability, it pulls the live schedule, which refreshes automatically throughout the day.
  • When someone is ready to enrol, it captures their details and passes the lead straight to the team.

The result

Students now get a real answer the moment they ask, day or night, instead of a form and a wait. The repetitive "when and where" questions that used to interrupt the team are handled automatically, and the answers are always current because they come from the live schedule, not a page someone has to remember to update.

It is a good example of the difference between a basic chatbot and a proper AI assistant. One guesses from a static page. The other looks up the real answer.
